Help & FAQ

Quick answers to common questions. For anything not covered here, click the thumbs-down on any chat reply or email hello@alannotes.com.

Uploading

  • How do I upload a video?

Open a project, click the blue Upload media button (top right), pick one or more files. Watch the queue panel for per-file progress.

  • What file types are supported?

Any video the browser can play (MP4, MOV, MKV, WebM, etc.), images (PNG/JPEG/WebP), audio files, and project files like .prproj/.psd/.ae (preview-only).

  • My big file is choppy when I play it. What do I do?

Once Cloudflare Stream is configured (admin step), uploads transcode automatically and the player switches to a smooth pre-rendered MP4. Until then, original files play directly from R2 — fine for browser-friendly codecs, choppy for cinema-grade HEVC/4K.

  • Can I upload a new version of a file?

Yes. On a video card, click the V badge → Upload new version. Comments stay on V1; viewers can flip between versions in the player header.

Reviewing

  • How do I leave a comment?

On any video, pause where you want to comment, type in the box at the bottom, press Enter. The comment is timestamped automatically.

  • Can I draw on the frame?

Click the pen icon, pick a color, draw on the frame. Erase a single stroke with the eraser, or "Clear all" to start over. Your drawing is saved with the comment.

  • How do I step one frame at a time?

Use the ← / → arrow keys (or the comma / period keys, NLE-style). Useful for catching a single-frame issue.

  • How do I jump to a comment's timestamp?

Click the comment in the right panel — the player seeks to that frame. Or click a timestamp like 1:23 inside any comment text.

  • What's the keyboard shortcut list?

    Press ? on any video page. Highlights: Space play/pause, J/L back/forward 5s, , and . step a frame, F fullscreen, I picture-in-picture, P/N prev/next video.

  • How do I thumbs-up a comment?

Click the 👍 button under the comment. Click again to remove. (We replaced the multi-emoji picker with a single thumbs-up — less decision overhead.)

  • How do I mark a comment resolved?

Click the circle button under the comment. Resolved comments dim out; toggle "Show resolved" in the comments header to view them again.

  • Will my teammates see new comments live?

Yes. If two reviewers are watching the same video, new comments / edits / deletes appear immediately for both — no refresh needed. (Requires Realtime to be enabled on the comments table in Supabase, which is a one-time toggle.)

Sharing

  • How do I share with a teammate?

Click the chain icon on a project (hover the row in the sidebar to reveal it). For workspace-wide invites — one shot to every project you own — open Team in the sidebar. Both flows let you bulk-paste a list of emails and pick a role for everyone.

  • Can I bulk invite a whole team at once?

Yes. Open Team → Bulk paste tab → drop a list of emails (newline / comma / space separated), pick a role for everyone, click Send N invites. The result panel shows per-row outcome (already invited, sent + emailed, sent without email, error).

  • A teammate didn't get the invite email — what do I do?

Open Team, find their pending row (amber dot), click Resend. If email isn't configured at all, click Copy link instead and DM the URL to them — that bypasses email entirely.

  • What roles can a member have?

Viewer (watch + read only), Commenter (also leave comments + drawings), Editor (also upload, organize, delete), Owner (workspace-wide control). The role description appears below the picker so it's clear what each grants.

  • How do I share with a client (no signup)?

Click Share on a project → Client links tab → Generate link. Customize allow comments, downloads, expiration date, password, and theme colors.

  • How do I password-protect a client link?

When generating, type a password (e.g. client123). Visitors see a password gate before any content. You can edit/clear/change the password anytime from the same dialog.

  • Why didn't my teammate get an email?

Email sending requires both RESEND_API_KEY and ENABLE_INVITE_EMAILS=true to be set in Vercel env, AND the from-domain must be verified in Resend. If unconfigured, the dialog shows a copy-able link as a fallback.

Permissions

  • What roles can a member have?

Viewer (read), Commenter (read + comment), Editor (read + write), Owner (full control + invite). Project owner has all permissions automatically.

  • How do I change a teammate's role?

Open Team or the project Share dialog → click the role dropdown next to their name → pick a new role. Takes effect immediately.

  • How do I remove a teammate?

Same dialog — click the × next to their row. Their existing comments stay; they immediately lose access.

Library tricks

  • How do I find a specific file?

The search bar at the top of the sidebar is always visible. Type 2+ characters and you'll see file matches plus any audio transcripts that contain your phrase. Click a transcript hit to deep-link straight to that moment in the video.

  • Can I search what someone SAID in a video?

Yes. Once a video has finished transcribing (status flips to "done"), every spoken phrase is searchable from the same sidebar search. The result shows the matching sentence with the keyword highlighted, plus the timestamp.

  • How do I download multiple files?

Click Select in the toolbar → click each card you want → Download N. Files come back as one ZIP. The selection checkbox sits at the bottom-left of each card so it doesn't cover the filename.

  • Can I move files between folders?

Drag a card onto a folder tile or sidebar entry. For multiple, use Select mode → Move N → pick a destination. Project root folders show the project name, not "Inbox".

  • How do I add a new folder inside a project?

A dashed "Add new folder" tile sits inline with the real folders in the grid. Click it to create one. (We removed the toolbar button; the inline tile is the new home.)

  • What happens to deleted files?

They go to Trash for 30 days. Open the Trash item in the sidebar to restore or permanently delete. Use "Restore all" or "Empty trash" for bulk action. Comments are preserved internally even after deletion (admin can recover from the audit log).
